No policy means your employees are making it up.
Right now, without a written AI policy, your employees are deciding on their own what is acceptable. Some are pasting customer emails into ChatGPT to draft responses. Some are using AI to write code that will run on your production servers. Some are using AI-generated content in client deliverables without disclosure. None of them think they are doing anything wrong — because nobody told them the rules.
Here is what has gone wrong for real companies without policies: Samsung engineers leaked proprietary chip design source code to ChatGPT in three separate incidents in 2023. A New York law firm submitted a brief containing AI-hallucinated case citations that did not exist. A marketing agency delivered AI-generated copy to a client who later discovered it had been plagiarized almost verbatim from a competitor's website.
These are not freak accidents. They are predictable consequences of deploying powerful tools without guardrails. A policy does not have to be 40 pages. It has to be clear, specific, and actually communicated to your team. A two-page AI policy that everyone has read is worth more than a 20-page policy that lives in a folder nobody opens.
The legal landscape is evolving rapidly. The EU AI Act requires transparency about AI-generated content. Several U.S. states have introduced AI disclosure laws. Industry regulators (SEC, FTC, FDA) are all developing AI-specific guidance. A policy you write today protects you from the regulatory environment of tomorrow — because the rules are only getting stricter. Getting ahead of regulation is cheaper than reacting to it.
Think of your AI policy the way you think about your employee handbook: it sets expectations, reduces confusion, and protects both the company and the individual. The difference is that AI policy needs to be updated far more frequently — quarterly at minimum — because the tools, capabilities, and risks change every few months. Build the review cycle into the policy itself.
The cost of no policy: at a minimum, you risk data leaks, client trust violations, and quality inconsistency. At worst, you risk regulatory fines, contract breaches, and the kind of public embarrassment that follows you in Google results for years. A well-written two-page policy takes one afternoon to create. The alternative takes months to recover from.
The policy also protects the upside, not just the downside. When your team knows which tools are approved, which use cases are encouraged, and what the quality bar looks like, they use AI more confidently and produce better results. Clarity unlocks productivity. Ambiguity creates paralysis and risk simultaneously.
Five characteristics of policies people actually follow.
Writing a policy is easy. Writing one that people read, understand, and follow is hard. The difference is not legal language — it is structure, clarity, and practicality. Here are the five characteristics that separate a policy that changes behavior from a policy that collects dust.
1. Short enough to read in one sitting. If your AI policy is longer than 3 pages, most employees will not finish it. Target 2 pages of core policy with appendices for tool lists, approval forms, and reference material. The appendices can be long. The policy itself must be scannable.
2. Written in plain language. If employees need a lawyer to understand it, they will not follow it. Replace "notwithstanding the provisions herein" with "regardless of other rules in this policy." Every sentence should be understandable by the newest person on your team.
3. Specific about what is allowed, not just what is banned. Most policies focus on prohibitions. The best ones also include explicit permissions — "you are encouraged to use AI for these tasks" — because employees who are unsure will default to not using AI at all. Lost productivity from over-caution is a real cost.
4. Updated quarterly. AI tools change every month. A policy written in January may reference tools that no longer exist by June. Build a quarterly review into the policy itself: "This policy is reviewed and updated every 90 days by [role]. Last review: [date]."
5. Communicated, not just distributed. Sending a PDF is not communication. Walk your team through the policy in a 30-minute meeting. Answer questions. Give examples. Share the "why" behind each rule. People follow rules they understand the reason for.
Here is a test you can run right now: if you already have a policy document of any kind — HR handbook, data security policy, acceptable use policy — ask three employees where to find it and what it says. If they cannot answer both questions, the policy is not working. The same fate awaits your AI policy unless you communicate it actively and reinforce it regularly.
The best AI policies also include a feedback mechanism: a Slack channel, an email alias, or a monthly check-in where employees can ask "is this allowed?" without fear of judgment. Questions are a sign the policy is being read. Silence is a sign it is being ignored.
The 80/20 of policy effectiveness: 80% of policy violations come from 20% of the rules being unclear. Before you finalize your policy, identify the three rules most likely to be misunderstood. Add an example to each one. "Do not share customer data with AI tools" is clear in your head — but an employee might think "customer data" means only Social Security numbers, not email addresses. Define what you mean. Specificity prevents violations.
The one-page version. For companies under 10 people, a full 8-section policy may be overkill. Start with a one-page version that covers only three things: (1) which tools are approved, (2) what data can never go into AI tools, and (3) what must be reviewed by a human before going external. These three rules prevent 90% of AI-related business risk. Expand to the full 8 sections as your team grows or as AI usage becomes more embedded in your workflows.
Whether you write the one-page version or the full 8-section version, the most important thing is to write it and communicate it this month — not next quarter. Every week without a policy is a week where employees are making their own rules. Those rules may be perfectly reasonable. Or they may be creating risk you do not know about yet. The policy is your way of replacing uncertainty with clarity. Start small if you need to, but start now.
Remember: the goal of an AI policy is not to restrict AI use — it is to enable confident, productive, safe AI use across your organization. The best policies say "yes, and here is how" far more often than they say "no." A restrictive policy drives AI use underground. A clear, enabling policy drives AI use into the open where it can be managed, measured, and improved.
If you take one action from this lesson today, it should be this: open a blank document and write the first section — Purpose. One paragraph. Who it applies to. Why it exists. That document is now your AI policy draft. Add sections as you work through the rest of the course. By the time you reach Lesson 10, you will have a working policy — not because you sat down to write one, but because you built it one section at a time as you learned each concept.
That incremental approach is intentional. A policy written by someone who has not used AI tools reads like theory. A policy written by someone who has spent 10 lessons learning the tools, the risks, and the measurement frameworks reads like practical guidance.
Build the policy as you learn. It will be better for it.

Not every section requires the same level of detail. Prohibited Use and Data Handling need to be specific and exhaustive — gray areas here create risk. Purpose and Training Requirements can be broader. Focus your time on the sections that prevent the most expensive mistakes first.
As you read through the eight sections, think about which ones your company already violates informally. Most businesses — even those without AI policies — already have employees using AI tools. The policy is not starting from scratch; it is formalizing what is already happening and adding guardrails where they are missing.
